Manage communication and coordination with high-profile guests (government officials, industry leaders, keynote speakers).
Provide personalized support for VIP guests, including handling special requests and logistics.
Collaborate with event teams to ensure seamless participation of all invited guests.
Develop and maintain long-term relationships with key stakeholders.
Assist in drafting and refining invitation letters and briefing documents.

Operations & Admin Assistant
Assist in scheduling meetings and coordinating internal workflows for the invitation team.
Manage event documents, guest lists, and invitation records.
Handle logistical arrangements such as travel bookings and accommodation for guests.
Support on-site coordination, guest reception, and event execution.
Assist in drafting reports, presentations, and event summaries.
Marketing Team:
Logistics & Administrative Role
Organize the team’s task timeline and track deadlines.
Monitor and take notes during meetings; coordinate communications among team members.
Arrange logistics for marketing materials.
Project management: ability to plan, organize, and execute tasks efficiently.
Time management: prioritize multiple tasks and meet tight deadlines.
Leadership: guide team members and keep track of their project timelines.
Content Creation Role
Write compelling copy for social media posts, captions, and blog articles on AI, climate, sustainability, and AI policy/law.
Conduct market research (e.g., social media hashtags, industry news) to identify relevant topics.
Assist in planning and executing content strategies.
Collaborate with design and marketing teams to ensure brand consistency.
Excellent writing skills with prior experience in content creation.
Ability to perform market research and interpret data for targeted content.
Strong communication for cross-team collaboration.
Social Media Platform Management
Manage and schedule content across multiple platforms (LinkedIn, Twitter, Instagram, 小红书, TikTok, etc.).
Engage with the online community by responding to comments, messages, and inquiries.
Track analytics, generate performance reports, and optimize content based on data insights.
Plan and execute live coverage of the conference on social channels.
Media (PR Experience Preferred)
Leverage media and press connections in the U.S. and China.
Conduct media outreach to secure press coverage.
Build and maintain relationships with journalists, media outlets, and influencers.
Web Design
Update and manage website content, including event updates and multimedia.
Improve site navigation, layout, and responsiveness across devices.
Monitor website performance, troubleshoot technical issues, and optimize for speed and SEO.
Collaborate with content and marketing teams to integrate new features and announcements.
Interview Team (In-Person)
Conduct interviews with keynote speakers, panelists, and special guests.
Gather content for promotional material and post-event summaries.
Coordinate with the video editing and design teams to produce high-quality interview clips.
Design Team:

Graphic Design
Create visually appealing graphics for social media and event materials.
Ensure brand consistency across all visual assets.
Provide real-time design support during the conference.
Video Editing
Edit event footage into high-quality videos.
Produce short-form video content for social media (Reels, TikTok, YouTube Shorts).
Enhance videos with effects, transitions, and storytelling techniques.
Optimize video formats for various digital platforms.
Collaborate with videographers and graphic designers to maintain cohesive storytelling.
Photography & Videography (In-Person)
Capture high-quality images and video content before, during, and after the conference.
Record interviews, speaker sessions, behind-the-scenes footage, and audience engagement.
Ensure proper lighting, angles, and composition for professional visuals.
Coordinate with video editors and graphic designers to create compelling visual stories.
Finance Team:
Head of Finance
Industry familiarity: experience with finance processes in nonprofits, events, or startups is desirable.
Analytical skills: strong data analysis capabilities to provide strategic financial guidance.
Leadership: ability to lead the finance team and ensure targets are met.
Accountability: strong sense of responsibility, working efficiently under pressure.
Finance Team Members
Foundational knowledge in finance, accounting, economics, or related fields; prior experience is a plus.
Attention to detail: proficient in data management and familiar with Excel or financial software.
Budget & cost awareness: basic understanding of budgeting and cost control.
Teamwork & communication: ability to collaborate effectively and communicate clearly.
Preferred background: exposure to nonprofit, event, or startup finance processes.
Sponsorship Team:
Sponsorship Team Members
Strong communication and negotiation skills; able to clearly articulate partnership value.
Project management experience and market development skills, capable of independently handling high-value sponsor discussions.
Contribute to team goal-setting and coordination.
Preferable to have previous experience in sales, marketing, public relations, or business development.
On-site Team:
Event Support Staff (In-Person)
Provide on-site support during events, managing equipment, coordinating logistics, and setting up venues.
Assist with crowd control and handle any arising emergencies.
Work closely with the core operations team to ensure smooth event execution.
Guest Reception Staff (In-Person)
Welcome and assist guests and speakers upon arrival.
Provide guidance on event agendas and venue layouts.
Manage VIP guest lists and coordinate with other staff for a seamless guest experience.
Operations & Technology Team (In-Person)
Oversee photography, videography, and post-production for the summit.
Handle equipment management, technical setup, and network maintenance.
Collaborate with other teams to ensure efficient and effective event operations.
